The Employment Compliance Specialist is responsible for facilitating process and procedure design/redesign, system & workflow enhancements, support & training. In addition, they will design and create all standard system reports, including but not limited to monthly analysis, HR and Payroll compliance audits, and reporting by vetting the policies and processes of the HR and Payroll departments, such as employee handbooks, HR and Payroll related policies, and compliance with applicable labor laws. This role will partner with Legal to review, recommend and update policies to ensure compliance with local ordinances and state and federal laws.  This role sits within the Legal team and reports to the Associate General Counsel, Employment.

Job Duties and Responsibilities:

  • Supports the development and implementation of compliance programs, policies, reporting, and practices for the organization.

  • Monitors and audits activities impacted by regulatory requirements related to the organization's governance and any industry-specific or location-specific laws for the U.S., Canada, and Mexico.

  • Establishes internal controls and auditing systems to identify, detect, and correct noncompliance.

  • Conduct California wage and hour and meal and rest break audits; prevailing wage and living wage audits for applicable sites; location audits for employees; etc.

  • Implements changes to compliance processes due to new or amended regulations.

  • Prepares and updates communication materials related to HR and Payroll policies.

  • Assists with training initiatives that inform stakeholders about compliance requirements.

  • Partner with Employment Counsel and HR to evaluate ADA requests including determining if disability is covered under state or federal law, determining if accommodation requests are reasonable under state or federal law, advising on effective means of compliance with requests.

  • Partner with Comp & Benefits to coordinate the administration of FMLA, including development and administration of the policy, guidelines and procedures in conjunction with Employment Counsel.

  • Monitor federal and state employment regulations, research and assess effects of new laws, changes and updates to existing laws on existing policies and recommend applicable changes in existing policies/procedures or new policies to Employment Counsel and People Services Lead.

  • Coordinate with People Services to track and prepare diversity data and communication to stakeholders; prepare AAP data and Affirmative Action Plan development, training, and communication, if needed.

  • Align with Risk and Compliance in Veghel.

Basic Qualifications:

  • Has a minimum of 3-5 years working in corporate employee relations, compliance, ethics, legal, governance, privacy/cybersecurity, human resources, or risk management.

  • Bachelor’s degree in human resources or related fields

  • Strong organization, communication, and computer skills (Teams, OneDrive, SharePoint, Word, Excel).

  • Ability to track data, analyze data and identify trends.

  • Ability to work effectively in a global environment and sensitive to cultural differences.

  • Exceptional organizational and time management skills, with strong attention to detail and a proven ability to take ownership of multiple projects in a hybrid work environment.

  • Honesty, integrity, and a positive collaborative can-do attitude and approach in the workplace.

Preferred Qualifications:

  • Has worked in ethics and compliance programs and is familiar with ethics and compliance program management and standard methodologies and has project management and execution skills.

  • Two (2) or more years of experience working with California wage and hour laws.

  • Experience with prevailing wage and living wage audits.

  • Experience in manufacturing.

Position Type/Expected Hours of Work:

  • Full time (40 hours per week)

Travel:

  • Has the ability to travel up to 20% of time, likely entirely within U.S.

This is a full-time, exempt position, eligible to receive a base salary and to participate in an annual performance bonus program. The salary range listed represents the maximum and minimum starting base pay for this position as of the time of posting. Final salary offered will be determined based on factors including but not limited to the candidate's skills and experience. The annual performance bonus program is preset and not candidate dependent.
